• Only trusted, end-to-end encrypted applications are used for confidential

          discussions.

• All data is stored on open-source, end-to-end encrypted platforms.

• Administrative accounts are protected through secure, multi-factor

         authentication procedures.

Data is retained solely for the minimum period necessary, in line with security and privacy best practices.

6. Data Retention:

Ramzunā Languages retains data only as long as necessary for the programme

delivery.

Default retention periods:

• Student records:

o Upon Permanent Exit: Personal identifying data is permanently erased or irreversibly anonymised immediately upon a student's formal exit from the programme.

o Upon Temporary Absence (Paused Participation): If a student’s participation is temporarily paused or interrupted, their identifiable records are securely retained and placed into restricted access for a maximum period of 6 months. If the student does not return or contact the programme within this timeframe, the records  are

permanently erased or anonymised.

• Volunteer Records: 3 years after last engagement

• Email subscribers: until unsubscribed

• Website analytics: Retained in accordance with the retention settings of the analytics and hosting services used by Ramzunā Languages and is periodically reviewed.

• Internal communications: Retained only for as long as reasonably necessary for operational, safeguarding, legal, or administrative purposes and are periodically reviewed and deleted when no longer required.
